Use separate columns for quantity, rate, subtotal and notes. Make totals recalculate when inputs change. Clearly mark editable cells and assumptions. Include only the categories I supply; ask about missing costs. Check the formulas. Create an XLSX if supported; otherwise give me the table structure and formulas to enter.
